How to Locate a Check on HQ
There are several ways to locate a Check within TRAY. Ultimately, the Check ID, or check number, is the best way to locate a check within TRAY. However, you may not always have access to the check number. For example you may only have partial information from a guest who does not have their receipt. Sometimes the guest may only have their credit card number, and the day they visited. There are three reports which are most helpful for finding a specific check:
If the guest does not have their receipt handy, and only knows the day they visited and the last four of their credit card they used for payment, then the Payments report is the best option. As shown in the image below, once you have the guests last four of their credit card you can then select your date, select your store, enter the last four of the credit card and run the report. Once the data comes back you will be able to see the check number for that guests check.
Once you have the check number you can then use the checks or the orders report, or several other reports to recall the details of that check. You can also go to the POS and "Recall" that check number if the guest needs a new copy of their receipt. Once you enter the check number into the "Checks" screen on the POS you can then hit "Recall Check" which will pull up any check from any time in the past, as long as it is from the same site. From here you can reopen the check, assuming you have the appropriate permissions. If you do not need to reopen the check, you can simply print any of the necessary receipts, even if the check is closed.
If you do not have the check number or credit card info, you can look at the Orders report or the Checks report to look at the items which were sold to see if you can match up to what the guest ordered. You can also look for a guest name if it was a to go / online order. The Orders report can be filtered by Service, and even by Staff to narrow down further any orders which may have been rung in to help you identify the check number.
